While it is preferable to present
your data in figures, it is sometime more appropriate to show the results in Tables.
Tables of up to 5 columns, each about 2.5-3.0 cm wide, can be created using a
Portrait Page Layout. However, Tables containing more than 5 columns, or
those with long text in each cell should be typed in a separate file using a Landscape
Page Layout. The main reason for this limitation is the limitation of Macintosh
Microsoft Word in creating two different page formats in one file.
In the following example, we will
create a Table with three columns and three rows :
- Open your manuscript, go to the
end of the References and start a new page.
- Type the Table Number
and the Title.
- Click on INSERT
and select TABLE, as shown below:
- This opens a menu box asking for
the number of rows and columns, with default values of 2. Type in the number of
rows and columns. Click OK.
- Type the information in each cell,
moving from one cell to another by pressing TAB, or using the mouse.
- To format the text of the table,
you can format the entire text in all cells, only an individual cell or all cells
in one column. To do this, select the entire table, or one or more rows or columns.
At this stage, click on FORMAT, TABLE CELLS to
format the selected text, as shown in the following figure:
- This opens a menu box that allows
formatting the selected text and provides several other formatting options. Decide
on your needs and change the default values as required. Click OK.
- To add a new row or column, select
the section next to where you want the new row or column to be inserted, then
click FORMAT, TABLE LAYOUT, as shown below:
- This opens a menu box allowing the
insertion of one row or a column at a time.
- To delete a row or column from the
table, block that section, then click FORMAT,
TABLE LAYOUT.
- This opens a menu box allowing the
deletion of one row or a column at a time.
- To add borders to the top and bottom
of the first title row, block the row, then select FORMAT, BORDER, as shown in the following illustration:
- This opens a menu box illustrating
the text with gray lines, click on the top and bottom lines to add these borders
to the selected row. Click OK.
- You can also quickly change the
width of a cell or column using the table format icon. If the icon is not highlighted,
click on it now. The icon is located on the table bar, as shown in the following
illustration:
- Now, block the cell or column, then
click on
the ruler bar, shown
below, and move the format icon to the left or right to change the width of the
selected cell or column:
- Type the text of the table legend,
and define all abbreviations used in the table, even if they are defined in the
text of the manuscript.
