Formatting Manuscript Page Numbers Using Macintosh Microsoft Word version 6.0

Page numbers are usually placed at the top or bottom of each page of the manuscript, either in the center or right side of the page. In the following example, we will place the name of the first author and consecutive page numbers at the top right corner of each page:

  • Open the word-processor file of your manuscript, place the cursor to the left of the manuscript title.
  • View the manuscript in NORMAL mode, by clicking on VIEW and selecting NORMAL.
  • Click on VIEW and select HEADER and Footer, as shown here:

    Fig. 1

  • This opens the Header formatting rectangle at the top of the page as well as the Header and Footer toolbar. The latter contains several icons. The icon marked as # will place consecutive page numbers. The following figure shows the Header formatting rectangle with the Header and Footer toolbar:

    Fig. 2

  • Before you type the text of the header, format the header to be right-justified. To do this, click on FORMAT, then PARAGRAPH:

    Fig. 3

This opens the PARAGRAPH editing menu. Select ALIGNMENT, then RIGHT, as shown in the following example:

    Fig. 4

  • Close the Paragraph editing menu. This will take you back to the Header formatting rectangle and the Header and Footer toolbar. The cursor is now at the right margin. Type the surname of the first author followed by et al., Page <space>, as shown in the following example:

    Fig. 5

  • Click on # in the Header and Footer toolbar . This will place 1 beside the space following Page.
  • You can also format the added text. In this example, block the text of the author and et al., Page 1, and then change the text format, size, style, etc, as you wish.
  • Click CLOSE of the Header and Footer toolbar to return to normal page viewing.
  • You can view the page number by changing to VIEW, PAGE.

You can, of course, place the page number at the bottom of the page instead of the top. To do that, replace HEADER above with FOOTER.
